URGENT ACTION REMINDER – DATA PRIORITIES FOR R 14

For all HEIs currently compiling their final ILR submission for 5pm today please note :

R 14 is your final submission for the end of the year and you will need to check and validate your return – corrections cannot be made after today.

There are there are three key data checks that you must make and we are aware of current ILR submission issues in each of the three categories below:

  1. Confirm that your levy employers have uploaded their apprentice details into their Apprenticeship Service account and that this has been fully approved by you and your employer – without this, your ILR record will not have an apprentice record to match to and you will not get paid. If you cannot see the Apprenticeship Service apprentice record that matches your ILR, you must contact your employer and they/you must take this action today. We are aware from ESFA that this is an issue now for some HEIs. 
  2. Check that you have correctly flagged the  ‘Apprenticeship contract type’ (ACT) field in the ILR. You must record an ACT otherwise the record will fail validation; record code ‘ACT1’ for levy contracted apprenticeships and ‘ACT2’ for non-levy contracted apprenticeships.
  3. Check that the key match fields on the Apprenticeship Service and on your ILR contain the same data – particularly on price, ULN, Start Month, Framework or Standard code, or pathway code.

HEIs, where data issues have been identified, should be contacted by their Provider Manager but for this most important and final ILR submission with a 5pm deadline today take action now to confirm that your ILR submission is error free and can be paid.
