UVAC’s 2025/26 suite of academic and contractual templates, designed to support members throughout the funding year, have now been released and available to every practitioner in member organisations.

This comprehensive set of resources provides updated guidance, agreements, and compliance tools to facilitate effective apprenticeship delivery and ensure alignment with current regulatory requirements.

Distribution to recently renewed and new members who have requested the templates has already begun. If you have already received your templates please take the time to read these through, take guidance where needed, and adapt the terms included to suit your own processes and policies. This year contracts and templates available are:

UVAC- 2526 – Template Line Manger Guide – This 2 side document sets out the key contractual and operational requirements for line managers in their day to day responsibilities during the apprenticeship from the point of delivery. This is in word for you to simply add your logo and pdf, or amend / use as appropriate. This has been developed as part of the contracting suite. 

UVAC-2526-Template Apprenticeship Services Agreement – This is the master contract for services with employers. There are new terms relating to the use of AI in an apprenticeship which you will want to review 

UVAC-2526-Template Contract for End Point Assessment Organisations – This is the master contract for End-point Assessment Organisations and EPA services

UVAC-2526-Template Subcontract for Apprenticeships – This is the master contract for subcontractor organisations and subcontracted training delivery as part of the apprenticeship.

UVAC-2526-Template EPA Internal Service Level Agreement – this template is new for 2025/26 This is the master service agreement for use with internal end point assessment teams. It sets out the core requirements placed on the university by the Standard EPA Plan, OfS EQA requirements and the processes and procedures needed to ensure that the point assessment is complaint with evidence and ILR requirements 

UVAC-2526-Template Independent Assessor Contract – this template is new for 2025/26  This contract is for use to confirm the requirements for external assessor resources to support the requirements of end point assessment. This includes the standard terms and requirements for any assessor delivering an end point assessment. 

UVAC-2526-Template Training Plan – This is the composite document ensuring that all the evidence from the onboarding process is collated and available in a single plan for each apprentice, and that the information needed by apprentice and employer to manage their programme is present in their Training Plan. 

UVAC-2526-Template Tri-partite Progress Review – this includes the mandatory agenda items specified by the funding Rules and provides guide for conducting and documenting review conversations.

UVAC-2526-Summary Statement of Hours – this template is new for 2025/26  having been reinstated from previous versions of the funding rules. It contains the evidence now required at the end of the apprenticeship for every apprentice whose actual hours are fewer than the planned hours set out in their training plan. This can be added to an existing gateway document or used as a standalone declaration 

UVAC-2526-Evidence Checklist – This includes all of the evidence required by the Funding Rules which you can map against your own documentation and systems to confirm where this evidence is held. This will identify any gaps in collection and provide a simple matrix to track compliance as part of internal audits
